Invoices?

How many of you other guys provide full invoices of the work performed?





I've found that a lot of my clients like to have something tangible, in their hands, that they can read through everything that was performed on their cars.





Basically, I just copy/paste my whole process that I post on here, along with a summary of price breakdown.





Anyone else? Or am I just too OCD?
 
got a sample you can PDF to me? I invoice as well most the time. Some people just straight up refuse them. I would like to find a better way of doing it or a more effective way. Writing them looks sloppy to me and i would rather print one or have one mailed or even e-mailed to them as it would just look that much better.



I would be interested in seeing yours though if possible.
 
My Acrobat 8 Professional has been on the fritz for a couple weeks, so I've just been using MS Word 2007. Once I fix Acrobat, I'll save it as a PDF, and email it to you.
 
LoL OCD. It doesn't need to be in PDF, word or what not is cool too. Was just curious to see ypour setup in terms of invoicing goes.
 
I typically leave a receipt with an extremely summarized description of the work performed. It's usually hand written though since each job is different but I can always send them an email with attached letter head invoice if they need it.

I have an invoice book, i ordered a stamp from vistaprint for free with my details on it and hand write them if required. I don't write many

Same here. Maybe 1 in 20 want an invoice of some sort.

so if you guys don't write invoices how do you keep track of everything as far as what was done to the car, when their last visit was, how much they were charged etc . . . .

I keep a spreadsheet of all that information. So I also know when to call them when their ready for another detail ;)
 
I have a standardized check list that I provide, along with paint thickness readings on a "mapped" drawing of the vehicle. I also provide the client with before and after digital pictures of their vehicle.

so do you call your clients after a certain period of time to remind them about detailing, or do you e-mail . . . . . . offer them anything enticing to want to get it done again?



im just looking for the most effective tools to use.



I wish there was some software something like Quickbooks in which you could set alarms for each client and have a notice sent to your e-mail or pop up on your computer that will state 2 month warning or reminder to call Mr. Smith or what ever client you choose.

I like that. I am a computer repair technician by trade... But I detail to supplement my income (Thanks Bombay). When I provide repair service, I have a program catered to the service industry, It allows me to enter very intricate or basic notes and details as to what was done to the client's machine.



The software is very adaptable, and I have customized it for my detailing business as well. I can set follow-up reminders, store photos associated with the work order and so on.

Almost all the time the client will call me before I am ready to call them to schedule their next detail :D Normally they have a regular amount of time that they get it done, so if I do call it will be like "Hey its been 6 months ready for another correction?" Just a friendly reminder, and then they usually schedule. :D Enticing, usually just my friendly voice ;)
